Membership Revenue Reporting Process Improvement for Small Scale Non-Profits

Objective

This table aggregates revenue metrics by billing type, giving a top-line view of charges, payments, and balances.


The Challenge

Membership dues varied by billing type, and existing reports lacked clarity, consistency, and actionable insights. Leadership couldn't easily track who paid in full, who required follow-up, or the state of receivables.


My Approach

I developed a dynamic Excel-based reporting system with 4 key components:

  • Billing Type Summary: Aggregated charges, payments, reversals, and balances

Membership dues varied by billing type, and existing reports lacked clarity, consistency, and actionable insights. Leadership couldn't easily track who paid in full, who required follow-up, or the state of receivables.


My Approach

I developed a dynamic Excel-based reporting system with 4 key components:

  • Billing Type Summary: Aggregated charges, payments, reversals, and balances


  • Payment Status Breakdown: Matrix showing payment statuses across billing types (paid, partial, adjusted, unpaid, etc.)

  • Automated Validation Table: Used SUMIF formulas to verify totals and catch discrepancies

  • Account-Level Detail Report: Included account name, type, billing type, charge, payment, reversal, balance, and payment status.

Final detailed report used by the Executive Director for individual-level decision-making.


Screenshots attached — built using raw CRM data cleaned, categorized, and modeled for executive use.
